Job Description:

JLR’s North Bay office is seeking qualified candidates for the position of Proposal Writer / Administrative Assistant. The successful candidate will bring expertise to the writing, editing, and coordinating of proposal content and will have two (2) years of experience in a professional writing role. This position will be a dual role, with the successful candidate splitting their responsibilities between technical/proposal writing and assisting with the day-to-day administrative duties in the North Bay office. We are first and foremost seeking candidates with a background in professional business writing, with administrative experience being a secondary asset.

Roles and Responsibilities:

Proposal Writer:

  • Develop clear and concise documentation in support of project proposals;
  • Edit and review content with meticulous attention to grammar, punctuation, style, tone, and consistency;
  • Collaborate with in-house graphic design team;
  • Multi-task, establish priorities, and coordinate a schedule for researching, drafting, revising, and submitting proposals;
  • Evaluate the approach, processes, and coordination of delivery schedules to improve results;
  • Keep up-to-date on the technology and methods of proposal delivery; and
  • Provide updates on the submission process and target deadlines.

Administrative Assistant:

  • Provide backup for answering and directing phone calls;
  • Assist with distributing documents, mail, and courier packages;
  • Monitor the inventory of office supplies and order supplies as necessary;
  • Assist with performing administrative tasks, such as creating electronic job folders, maintaining hardcopy and electronic office files, photocopying, and scanning; and
  • Performing project-related tasks, including preparing tender documents, binding reports and proposals, and typing correspondence, proposals, contract admin documents, meeting minutes, memoranda, reports, and proposals, as required.

Skills and Qualifications:

  • Degree or diploma in communications, English, business, or related field;
  • Minimum of two (2) years of experience in proposal development and/or professional business writing;
  • Superior writing, editing, and proofreading skills;
  • Ability to craft language that is persuasive, accurate, and polished;
  • Advanced proficiency in Microsoft Office suite (Word, Excel, PowerPoint, Outlook);
  • Detail-oriented with exceptional organizational skills;
  • Related experience in the consulting or construction industry or another professional field would be considered an asset;
  • Ability to collaborate with all levels of the proposal team (project managers, graphic designers, subject matter experts) and provide constructive feedback;
  • Excellent interpersonal and multi-tasking skills;
  • Ability to foster collegiality and guide the proposal team toward deadlines and goals;
  • Experience in, and knowledge of, design and construction industry is a strong asset;
  • Bilingualism is an asset (English/French); and
  • Graphic design skills and experience with Adobe Illustrator and InDesign is an asset.
