The Client & Account Services Officer’s main responsibility include providing comprehensive support for billing, accounts receivable, payable and client services support. The position also entails making sure our marketing platforms stay up to date and current.

Responsibilities include but are not limited to the following:

Client Services

o New & current customers
o Greet and assist clients via telephone or in person
o Account payments for sales and service orders, invoices and other payments for customers and business partners
o Preparation of quotation sheets
o Filing client paperwork and upkeep of filing systems including year-end preparation of documents, file boxes, binders and storage
o Follow-ups with past moving clients to ask them about their experience, answer any questions/concerns they may have
o Coordinate furniture deliveries from our delivery partners (BestBuy, Costco, Leon’s Furniture Stores)

Sales Coordination

o Box, paper, tape and moving supply sales
o General upkeep and tidiness of retail area
o Monthly Inventory Counts

Storage Rental Coordination

o Monthly payment processing for current storage rentals (focus on auto-withdraw from accounts vs credit cards)
o Ensures all paperwork for storage files are signed and up to date
o General upkeep of storage client files
o Use of Storage Program – used for virtual/online storage rentals, management of our offsite storage yard, monitoring of ins/outs (North Bay Self Storage, 66 Progress Court)


o Social Media posting (Instagram, Facebook, website upkeep)
o Client referral program
o Customer Satisfaction & upkeep
o Various promotional projects under the direction of the office manager

Simply Accounting/Bookkeeping

o Journal entries, payment posting, etc

Reception & Telephone Handling

o Answering phones and responding to client inquiries through company email address
o Ensuring quick and professional service to all customers and business partners
o Prepare outgoing and distribute incoming regular mail
o Maintain and order office supplies

Other Office Administrative Duties

o Assist office manager with planned staff meetings, event coordination
o Complete training and certificates as required
o General data entry and admin paperwork
o Comply with all policies and procedures

Knowledge, Skills & Abilities

- Excellent written and verbal communication skills
- Professional, pleasant and friendly phone manners
- Outstanding organizational skills to keep meticulous filing records and systems
- Self-motivated, ability to complete tasks without being asked and without direct supervision
- Energetic, ability to multi-task
- Detail oriented for completion of financial record and bookkeeping duties
- Ability to problem solve
- Ability to function as part of a close-knit team
- Commitment to providing the highest level of customer service and support
- Strong Microsoft Word, Excel & Microsoft Office Skills (Office 365)


- Business Administration an asset, however not required
- Minimum 2 years office/admin experience preferred
- Clean background check
