Your Opportunity

Your role will be to provide fully qualified administrative support to our team.

Your Key Responsibilities

  • Control the filing and storage (electronic and hard copies) of documents and communications under Stantec filing structure.

  • Technical writing, review and editing of internal and external documents.

  • Record and file documentation from office events.

  • Perform reception dutes; answers phone and routes calls, greets and directs visitors.

  • Perform clerical tasks including data entry, filing, photocopying, and scanning.

  • Coordinate mail, develiries and couriers.

  • Processes expense reports, invoices, orders, timecards etc.

  • Coordinates travel itineraries and arrangements, ensuring cost effective itineraries are negotiated.

  • Manages calendars, schedules meetings, books meetings rooms.

  • Maintain reception area and other common areas.

  • Maintain stock of office supplies and ensure functionality of office equipment.

  • Assist in the preparation of correspondence as required.

  • Perform other administrative duties as required.

Your Capabilities and Credentials

  • Excellent written and verbal communication skills.

  • Excellent customer service skills.

  • Ability to lift 15-25lbs of office supplies.

  • Strong multi-tasking skills with the ability to prioritize and organize multiple concurrent assignments

  • Must be willing and able to take initiative when needed.

  • Ability to deal with difficult situations and/or people.

  • Proficiency in MS Office Suite.

  • Strong team player with a 'can do' attitude.

  • Ability to get things done with a high level of attention to detail.

  • Ability to work effectively under pressure in a fast paced environment.

Education and Experience

High School Diploma with minimum of 5-6 years experience; or Post secondary degree in related field with minimum of 2-3 years experience; or equivalent combination of education and experience.

Position will primarily work in an office setting.
